Welcome to Rai Guest House. These Terms & Conditions explain how bookings, stays, and services work across our property, website, and related digital platforms. By confirming a reservation or checking in, you acknowledge that you have read, understood, and agreed to the policies outlined below.

Welcome to Rai Guest House. These Terms and Conditions ("Terms") govern your access to and use of the accommodation services, website, mobile application, and all associated facilities offered by Rai Guest House ("we", "us", or "our"). By creating a booking, checking in, or otherwise using our services, you ("Guest" or "you") agree to comply with, and be legally bound by, the Terms set forth below.

Rai Guest House operates as a budget hotel committed to providing affordable comfort and reliable service for both leisure and business travelers. Please read these Terms carefully before making or confirming any reservation. Should you disagree with any part of these Terms, we recommend that you refrain from booking or using our services. Continuing to do so constitutes your acknowledgment and full acceptance of our Terms and Conditions.

1. Booking Process and Confirmation

1.1 Booking Initiation. Guests may create bookings through various permitted channels—the Rai Guest House website or any authorized third-party Online Travel Agency ("OTA") that has a contractual relationship with us.

1.2 Confirmation Requirement. A booking is not considered confirmed merely upon submission. Confirmation occurs only when Rai Guest House explicitly marks the booking as “Confirmed” within our system. Until that confirmation appears in your online booking dashboard or is communicated by us via registered email or SMS, the reservation remains tentative.

1.3 Communication of Booking Status. Guests may log into their account on our official portal at any time to check the current status of their booking. It is solely the guest’s responsibility to verify whether their booking has been confirmed, modified, or canceled.

1.4 Multiple Bookings and Duplicate Reservations. Guests who create separate reservations for the same date through both an OTA and our direct website must honor both bookings. Rai Guest House’s system treats these as independent contracts, and double booking does not qualify as an error unless officially communicated by management. Accordingly, the guest is liable to pay for all rooms booked, even if they ultimately occupy only one room.

1.5 Failure to Confirm. If a booking remains unconfirmed due to payment failure, missing documentation, or verification issues, Rai Guest House has no obligation to hold the requested accommodation. Availability can change at any time, and the guest acknowledges that unconfirmed reservations may be released without notice.

2. Guest Information and Identification

2.1 Authenticity of Information. All personal details—including full name, address, contact number, and email ID—provided at the time of reservation must be accurate, active, and verifiable. Rai Guest House reserves the right to contact you by the provided phone number or email ID for confirmation, verification, or updates related to your stay.

2.2 Government Identification Requirement. The name entered in the booking form must match the name appearing on the guest’s valid government-issued photo identification (such as Aadhaar Card, Passport, Voter ID, Driving License, or PAN Card). If a mismatch occurs, management may deny check-in or require supplementary documents to verify identity, without entitlement to any refund.

2.3 Active Communication Channels. Guests are required to ensure their contact information remains active throughout the booking, payment, and stay period. Rai Guest House is not liable for missed notifications due to inactive contact details.

2.4 Falsified or Incomplete Information. Providing false, misleading, or incomplete information during booking constitutes a breach of Terms and grants Rai Guest House full authority to cancel or forfeit such reservation with no refund.

3. Number of Guests and Occupancy Rules

3.1 Declared Occupancy. The number of guests allowed per room depends on the occupancy declared and paid for at the time of booking. Only those persons whose names were registered in the booking shall be permitted to stay.

3.2 Extra Guests. If any additional guest(s) beyond the declared number arrive(s) at check-in, the guest must immediately inform reception. Extra persons may be accommodated, at the discretion of management, subject to additional charges, availability of space, and submission of valid identification. Failure to disclose or register extra guests constitutes a violation of our Terms and may result in fines or termination of stay without refund.

3.3 Children and Minors. Children below 18 years of age must be accompanied by a parent or legal guardian. Rai Guest House reserves the right to request identification proof of age.

4. Payments and Charges

4.1 Payment Responsibility. Guests are fully responsible for paying all applicable rates, taxes, and service charges for each booking. Payments made via OTA platforms are subject to the policies of those platforms, but Rai Guest House retains the right to request on-site verification of receipt.

4.2 Multiple Platform Bookings. As stated earlier, if a guest books a room through an OTA as well as directly from the Rai Guest House website, the guest is responsible for paying for both reservations, irrespective of usage. Such conditions exist to prevent misuse of availability and ensure fair inventory management.

4.3 Mode of Payment. We accept payments via cash, credit/debit card, UPI, and other approved digital methods. All payments must be made in Indian Rupees (INR). International guests are requested to ensure cards are enabled for domestic use.

4.4 Refunds and Cancellations. Refunds, if applicable, are processed based on the cancellation policy at the time of booking. Non-refundable bookings cannot be canceled or modified without full payment loss. Rai Guest House reserves the right to issue refunds only via the original mode of payment.

5. Check-In and Check-Out Policy

5.1 Check-In Time and Document Verification. Standard check-in time is 12:00 PM and check-out time is 11:00 AM unless otherwise specified. Guests must present valid government photo identification during check-in. Booking confirmation email or screenshot is not sufficient proof of reservation.

5.2 Early Check-In / Late Check-Out. Requests for early check-in or late check-out are subject to room availability and may incur additional hourly charges.

5.3 Refusal of Accommodation. Rai Guest House reserves the right to refuse accommodation to guests without valid identification, individuals under the influence of alcohol or drugs, or guests engaging in disrespectful or illegal behavior.

6. Guest Conduct and Prohibited Activities

6.1 Behavioral Expectations. Guests are expected to maintain proper decorum, quiet enjoyment, and respect toward other guests, staff, and property.

6.2 Prohibition of Illegal Activity. Guests must not carry, use, or store any illegal items, including drugs, weapons, explosives, or any prohibited substances within Rai Guest House premises. If any such items are found, management will immediately report the matter to local authorities, terminate the booking, and evict the guest without refund.

6.3 Property Damage and Misconduct. Any damage to property, including furnishings, fixtures, electronics, or other equipment, whether intentional or accidental, shall be the liability of the guest who caused it. In such cases, Rai Guest House reserves the right to charge the full repair or replacement cost, terminate the stay immediately, and file a police report as necessary. Guests causing property damage or public nuisance will be evicted from the premises.

6.4 Quiet Hours. To ensure a peaceful atmosphere, Rai Guest House enforces quiet hours between 10:00 PM and 6:00 AM. Music, loud conversation, and any form of disturbance are prohibited during these hours.

7. Liability and Disclaimer

7.1 Personal Belongings. Rai Guest House is not responsible for loss, theft, or damage to personal belongings, including cash, jewelry, or valuables left in rooms. We advise that guests use locking facilities and keep valuables safe.

7.2 Accidents and Medical Emergencies. The management shall not be held liable for any accident, injury, or medical emergency that may occur within the premises, except where caused by gross negligence on the part of Rai Guest House staff.

7.3 Interruption of Services. In rare circumstances involving maintenance, natural calamities, government restrictions, or power outages, Rai Guest House may temporarily suspend services such as electricity, Wi-Fi, water, or air conditioning. Guests shall not be entitled to compensation for such interruptions, provided the situation is beyond reasonable control.

7.4 Force Majeure. We shall not be held liable for failure to perform obligations under these Terms if such failure results from events beyond our control, including but not limited to natural disasters, strikes, lockdowns, war, or pandemics.

8. Cancellation and No-Show Policy

8.1 Guest-Initiated Cancellation. Cancellations by guests will follow the rate plan and cancellation policy chosen at the time of booking. Some promotional or last-minute rates may be entirely non-refundable.

8.2 No-Show Situations. If a guest does not arrive on the scheduled check-in date and fails to inform Rai Guest House in advance, the booking will automatically be marked as “No-Show,” and the full booking amount will be forfeited.

8.3 Property-Initiated Cancellation. Rai Guest House reserves the right to cancel any reservation at its discretion, including but not limited to unverified contact details, invalid IDs, or suspected fraud. In such cases, refunds may be issued at management’s sole discretion.

9. Privacy and Data Usage

9.1 Collection of Personal Information. By booking and staying at Rai Guest House, guests consent to the collection, storage, and use of their personal data, including name, contact number, identification details, and preferences, solely for administrative and legal purposes.

9.2 Use and Disclosure. Rai Guest House may use this data for communication, marketing of legitimate services, feedback collection, or compliance with government reporting regulations. We never share guest information with unauthorized third parties.

9.3 Data Security. Reasonable security measures are maintained to protect guest information against unauthorized access or misuse. However, we cannot guarantee absolute data security over digital transmission.

10. Termination of Stay

10.1 Breach of Terms. Violation of any clause in these Terms empowers Rai Guest House to terminate a guest’s stay immediately without warning or refund.

10.2 Management Authority. The decision of the management regarding behavioral misconduct, property damage, or rule violation shall be considered final and binding.

11. Governing Law and Jurisdiction

These Terms are governed by the laws of India. Any dispute arising in relation to your booking, stay, or these Terms shall fall under the jurisdiction of the local courts where Rai Guest House is located.

12. Amendments to Terms

Rai Guest House reserves the right to modify, revise, or update these Terms without prior notice. The version displayed on our website at the time of booking shall be deemed applicable. Guests are encouraged to review these Terms periodically to stay informed.

13. General Provisions

13.1 Entire Agreement. These Terms, together with the Booking Confirmation, constitute the entire agreement between the guest and Rai Guest House.

13.2 Severability. If any part of these Terms is held unenforceable by a court of competent jurisdiction, the remaining sections remain valid and enforceable.
